Ulricehamn municipality enhances their project management with Antura!

Ulricehamn Municipality has selected Antura as their new project and portfolio management tool (PPM) for their property and urban development department. The initiative aims to streamline operations and enhance project governance. Implementation is already underway, with a comprehensive rollout project designed to establish sustainable long-term workflows. By leveraging Antura, the municipality anticipates improved efficiency for project managers, reduced administrative burdens, and a stronger foundation for strategic and proactive business development.

A comprehensive transformation initiative
The adoption of Antura represents a significant transformation for the departments involved, focusing on structured project governance, enhanced support for project managers, and a more effective balance between administration and business development. This includes improved benefit tracking, standardized workflows, and widespread adoption of best practices across municipal departments.

A central component of the project was the seamless integration of Antura with the municipality's financial and HR systems. Additionally, Single Sign-On (SSO) has been implemented to simplify user management. The tool now also supports document management, project models, document templates, and governance documents, all tailored to meet specific needs.

Focus on core functionality in Antura
In the initial phase, the municipality has implemented several of Antura's key features, including:

  • ·User management and permissions to ensure appropriate access levels.

  • ·Project models and best practice projects to promote uniform and efficient workflows.

  • ·Document management and scheduling to create structure and clarity in projects.

  • ·Issue and risk management to proactively address challenges.

  • ·Status reporting and cost management to support monitoring and budgeting.

  • ·Time reporting for project resources and exporting reported time to the financial system.

Strengthening collaboration with external stakeholders
Another crucial aspect of the implementation has been creating conditions for seamless collaboration with external contractors and partners. During the intensive implementation months, a login solution via Mobile BankID for external parties was also developed. This has contributed to increased efficiency and improved document quality. The result is not only better project management but also a significant reduction in administration for external actors. Additionally, all actions and tasks are now collected in a structured manner within Antura.

– With Antura, we gain both structure and transparency in our projects. This means we can monitor project results and achieve our benefit objectives in a completely new way, says Anton Wistberg, Lead Project Manager for the implementation at Ulricehamn Municipality.

The property operations have already started with Single Sign-On (SSO) and login via Mobile BankID for external users. In conjunction with this, the outcome integration was also completed and configured, and time reporting integrated so that reported hours are automatically transferred to their financial system.

These critical implementations were completed in under three months – an impressive achievement considering the complexity of the requirements!

Next Steps: Expanding Antura’s Capabilities
The next phase of the implementation, set to begin during the year, includes additional features such as resource management and benefit management.

– Our goal is to implement the tool broadly across the organization, and we already see opportunities to streamline other operations within the municipality, says Kajsa Leidek, Development Leader at Ulricehamn Municipality.

Leadership as a key success factor
Strong and clear leadership has proven to be a key component for the project's success. By engaging all stakeholders, ensuring that new workflows are integrated into daily operations, and integrating Antura with internal systems, the municipality has laid the foundation for a sustainable transformation journey. This has also strengthened the organization's ability to meet future challenges with greater confidence and structure.

– Antura is now a central component in our efforts to improve project management and create long-term value. We're excited to keep evolving with the tool and reaching new heights in our work, concludes Anton.

Antura extends its gratitude to Ulricehamn Municipality for their trust and looks forward to supporting both the property and urban development initiatives in their ongoing work.

– With strong leadership support and a clear business focus, Ulricehamn Municipality has already made remarkable progress in the implementation journey. It is truly inspiring to witness the dedication and competence demonstrated by the entire organization, says David Spjuth, Senior Business Consultant and Project Manager at Antura.
